Your primarily role as Administration Assistant is to successfully manage the day to day administration function for the sites activities. You will provide support to the Operations Manager and the employees on-site, as well as a point of contact for all clients and the public.
About the role:
Maintain and organise documents, records, and files.
Raise purchase order and input deliveries upon good services that have been completed
Maintain excel spreadsheet for purchase order
Review and reconcile PO (purchase orders) and review check vendor invoices before passing for payment
Maintain new and existing supplier database in system MEX
Setup and maintain new employee data and files in system
Check edit and code clock/facial recognition in system
Prepare and Process weekly payroll each Monday – Ensuring adjustments are signed off prior to sending to shared services
Maintain payroll record within database
Submit hours every Monday morning and raise and receipt purchase order
Update various daily reports – Production Data, labour and recyclables etc
Input daily production data
Record and distribute incoming mail
Report any OHS or equipment damage to management
About you:
Proven experience in office administration, preferably in a fast-paced Manufacturing environment.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CSV file handling and uploading procedures.
Ability to manage and prioritise multiple tasks and responsibilities efficiently
Excellent verbal and written communication to provide clear updates and instructions.
Familiarity with data management software and applications or ability to learn quick
Capability to review and interpret data, such as volume reports and infractions.
