JOB PURPOSE:

The Document Control Specialist plays a pivotal role in ensuring the efficient management, organization, and accessibility of all project-related documents within the department. The primary purpose of this role is to establish and maintain a comprehensive document control system that ensures all documentation, such as contracts, permits, approvals, memos, and other critical documents materials, are accurately recorded, easily retrievable. The Document Control Specialist will facilitate the timely flow of documentation, maintain version control, and ensure compliance with legal and regulatory standards. This role is crucial for ensuring transparency, accuracy, and effective collaboration across all teams involved in real estate development, sales, leasing, and customer management.

Key Accountabilities

Manage the lifecycle of all project documentation, ensuring accurate storage, retrieval, and distribution of documents across the organization and project teams.

Ensure all project documents are properly versioned, updated, and distributed. Maintain an organized system for tracking revisions and approvals.

Ensure all documents comply with company standards, legal regulations, and project requirements, ensuring consistency and accuracy.

Oversee the archiving the documents in both digital and physical formats, ensuring long-term storage and easy retrieval.

Perform quality checks on documents to ensure completeness, accuracy, and consistency before distribution and archiving.

Prepare and maintain document control reports, track document status, and provide updates to senior management document progress.

Distribute documents to relevant stakeholders if needed

Validate the documents based on the requirements and make sure that all received documents are correct.

Shipping the physical documents to the customer.

Validating the system and making sure all the documents were uploaded properly.

Reviewing the system to ensure that all automated documents are uploaded.

Ensuring the validity (expiry dates) of documents are properly monitored.
