Job Description

MAIN PURPOSE OF THE JOB

Perform administrative duties to support the maintenance of the quality management system.

RESPONISIBILITIES

General

Ensure adherence to Standard Operating procedures

Ensure adherence to company Code of Ethics

Ensure all duties are performed in accordance with accepted service delivery standards.

Maintain quality, efficiency and confidentiality of service.

Liaise with and assist Quality Manager

Perform any other reasonable tasks as assigned by direct line manager.

Quality System

Support the Quality Manager with administrative tasks required for the maintenance and implementation of the quality management system

Periodic maintenance / verification of equipment

Updating of electronic records on SharePoint

Updating of quality control charts

Environmental monitoring

Training / refresher training of staff on quality procedures

Generation of system reports

Adhere to all quality requirements of the SGS management system

Report deviations and communicate instructions to improve and maintain the quality system.

Conduct internal audits on the management system

Compile data for management review

Health & Safety System

Adhere to all safety requirements of the SGS management system.

Actively participate in safety related activities

Always wear appropriate protective clothing

Adhere to all relevant Health & Safety procedures and protocols

Keep workplace and equipment neat and tidy

SPECIFIC AUTHORITIES

Cease the use of any equipment that may be deemed to constitute a safety hazard or entry to hazardous environments without the necessary knowledge and protection, and report the situation to higher authority to take action.

Cease to carry on with work that may affect the quality (integrity) of services and report the situation to higher authority to take action.

Initiate a formal improvement request when a deviation of the system occurs, possible improvements are identified or when nonconformity is identified.

Other specific authorities as indicated on the Agri Food Laboratory Designated Staff List

Qualifications

Education

National Diploma or equivalent

Language: Proficiency in English and Afrikaans (Read, write, speak)

Computer literacy in Word, Excel, Outlook (intermediate level)

Experience

Administrative experience will be an advantage.

Knowledge of ISO 17025:2017 will be an advantage
