Program and Role Summary:

Wayfinder’s The Haven opened in 2024 in partnership with the U.S. Department of Health and Human Services, Office of Refugee Resettlement, provides shelter and long-term foster care for unaccompanied children. The program assists children ages 0 to 17 and pregnant or parenting teenagers who enter the country alone and do not have a parent or legal guardian in the U.S. to care for them. The program includes a group home on our L.A. campus housing boys ages 12 to 17, basic foster care in family homes for children ages 0 to 17, and therapeutic foster care in the homes of trained families for children ages 0 to 17 with significant emotional, behavioral, medical or developmental needs. Wayfinder addresses these children’s complex, intertwined needs; provides stability; reduces trauma; and locates suitable sponsors.

The primary focus of the Quality Assurance Specialist is to oversee systems of quality assurance and provide feedback to service delivery staff on areas of needed correction/improvement. This position will work collaboratively with supervisors and management staff to ensure the accuracy of client documentation and records.

Primary Responsibilities:

Responsible for the review of any and all documentation submitted to the mental health client record, including (but not limited to) intake documents, assessments, Client Treatment Plans (CTPs) and Problem Lists, progress notes, change of diagnoses, outcome measures, medication support/psychiatric documents, and correspondence.
Conducts reconciliation, document-specific reviews, and full chart reviews and provides feedback on needed corrections, trends, areas of needed training, and missing information to the Director of Quality Assurance.
Works collaboratively with any and all service delivery staff, Clinical Program Managers, Director of Quality Assurance, The Haven leadership, and all inter and intra-agency personnel to ensure the exchange of needed information relevant to contractual compliance is completed.
Attend and participate in all regularly scheduled department and agency staff meetings and trainings.
Attends and participates in county provider and/or Quality Assurance meetings, and reports information back to the Assistant Directors, Clinical Supervisor and Director of the Haven.
Able to establish and maintain appropriate rapport, boundaries, and systems of support with inter and intra-agency staff, supervisors, representatives, and administrators.
Demonstrates an ability/fitness/competency to work professionally and independently with limited supervision and exercise professional discretion and independent judgment based on training, education, experience and personal creativity.
Demonstrates professional and effective communication abilities, including the completion of written reports, letters, trackers, plans and emails, and initiating verbal communications with service delivery staff, supervisors, administrators, and any and all inter and intra-agency personnel.

Education and Experience:

A minimum of an associate’s degree in a related field from an accredited college or university is required. Bachelor’s degree preferred.
Educational requirement may be waived in lieu of two (2) years’ DMH or federal quality assurance experience.
One (1) year of experience working within a contracted and/or directly operated Los Angeles County Department of Mental Health program that serves high-risk children, adolescents, adults, and/or families is required.
One (1) year of experience with reviewing/overseeing federal contracts in relation to billing, documentation, client records, quality assurance, policy and procedures, and training protocols is required.
Trained in Intensive Care Coordination (ICC), Intensive Home-Based Services (IHBS), and the Core Practice Model preferred.
Trained in Evidenced-Based Practices (e.g., Seeking Safety, Managing Adaptive Practice – MAP, Aggression Replacement Training – ART, Trauma-Focused Cognitive Behavioral Therapy – TF-CBT, etc.) preferred.
Proficient in the use of Microsoft Suite, specifically Word, Excel, and Outlook.
