Overview: Anew Transport is looking for a detail-oriented and highly organized Inspections Coordinator to join our Logistics Inspections Department. This position plays a vital role in coordinating inspection-related logistics nationwide and will spend a majority of the workday on the phone managing scheduling efforts, document verification, and compliance tracking. The ideal candidate will thrive in a fast-paced, high-pressure environment, maintain a calm and professional demeanor in challenging conversations, and deliver outstanding service to both internal teams and our high-profile clientele.
Key Responsibilities:
Schedule state-required inspections such as:
Safety and emissions
Smog inspections
Identification Number and Odometer Reading (IDOD) inspections
Mobile notary appointments
Will request weight slips from the carrier per request from the customer
Serve as the primary point of contact for scheduling and coordination with DMVs, inspection locations, and mobile vendors across all 50 states
Facilitate tow coordination for vehicle pickup and delivery in alignment with inspection and documentation requirements
Research, understand, and apply varying state-specific vehicle registration and inspection requirements to ensure legal compliance on behalf of clients
Maintain professional and effective communication with often difficult or uncooperative parties, including DMV representatives, carriers, and service vendors
Track and verify the status of inspections and documents; identify and resolve missing or incomplete information
Follow up on open inspection and paperwork items with accuracy and persistence
Update internal systems with real-time progress, ensuring all records are accurate and current
Perform high-volume data entry and digital filing of inspection documentation
Generate or request missing documents and ensure all required paperwork is prepared and submitted correctly
Support a team-oriented culture while also managing tasks independently
Preferred Qualifications:
Prior experience in logistics, dispatching, vehicle transport coordination, or customer service
Familiarity with vehicle documentation processes, inspections, or notary procedures is a plus
Proficiency in Microsoft Excel and comfortable working across multiple internal systems
Exceptional verbal communication skills with excellent phone etiquette
Proven ability to remain composed and effective during high-pressure interactions or conflict
Highly organized with strong time management and multitasking abilities
Attention to detail in document handling, data tracking, and compliance verification
Capable of working independently and collaboratively in a dynamic environment
