Job Summary
The ICQA Lead owns inventory accuracy and quality-assurance activities within the facility. This role independently investigates inventory discrepancies, identifies root causes, documents findings, recommends corrective actions, and partners with operations and warehouse leadership to prevent recurrence.
The successful candidate is comfortable working on the warehouse floor and analyzing data at a desk. They can confidently navigate WMS software and supporting tools, explain complex findings clearly to leadership, and provide detailed written summaries that establish what happened, why it happened, the operational or merchant impact, and the required path forward.
Key Responsibilities
· Inventory ownership.Manage ICQA priorities for merchants while following partner systems, service expectations, standard operating procedures, workflows, and escalation requirements.
· Inventory accuracy.Plan and execute cycle counts, location audits, SKU audits, spot checks, inventory reconciliations, and targeted research for missing, damaged, unavailable, restricted, or mislocated inventory.
· Root-cause analysis.Deep dive into discrepancies and process failures by reviewing WMS transactions, inventory history, order activity, receiving and shipping records, physical locations, user actions, and supporting documentation.
· Written investigations.Prepare clear, detailed investigation summaries and formal write-ups that explain the issue, timeline, evidence reviewed, root cause, inventory and merchant impact, corrective action, accountable owner, and preventive measures.
· Leadership communication.Present findings, risks, trends, and recommendations competently and effectively to warehouse leadership and other stakeholders. Escalate material inventory or quality concerns promptly and with supporting data.
· Corrective and preventive action. Partner with operations to correct inventory records when authorized, address process gaps, retrain team members, and verify that corrective actions are sustained.
· Quality audits.Audit receiving, stow, replenishment, picking, packing, returns, transfers, adjustments, and shipping processes for compliance with documented procedures and merchant requirements.
· Operational support.Support daily warehouse execution by resolving inventory barriers, researching urgent orders, assisting with receiving and outbound exceptions, and helping operations maintain flow without compromising inventory integrity.
· Reporting and trend analysis.Maintain accurate ICQA logs and reporting; monitor recurring defects, adjustments, credits, lost inventory, aging research, count accuracy, and other key performance indicators; and recommend process improvements based on trends.
· Cross-functional partnership.Work closely with Operations, Receiving, Shipping, ICQA partners, and other program stakeholders to respond accurately and promptly to inventory questions and merchant escalations.
· Process discipline and safety.Follow safety requirements, protect ShipBob merchant inventory, maintain organized work areas, and model consistent adherence to standard operating procedures.
· Additional support.Perform other related duties and special projects as assigned based on business and operational needs.

Required Qualifications
· At least two years of inventory control, quality assurance, warehouse operations, or related experience in a distribution or fulfillment environment.
· Working knowledge of cycle counting, inventory reconciliation, location control, warehouse transactions, and root-cause analysis.
· Ability to learn and navigate WMS, warehouse tools, dashboards, and supporting platforms with accuracy.
· Proficiency with Microsoft Office tools, particularly Excel, Outlook, Word, and Teams; ability to organize, analyze, and communicate operational data.
· Strong verbal communication skills and the confidence to speak effectively with warehouse associates, peers, ShipBob stakeholders, merchants, and senior leadership.
· Strong business writing skills, including the ability to produce organized, detailed, and fact-based investigation summaries.
· Excellent judgment, attention to detail, follow-through, and ability to work independently while managing competing priorities.
· Ability to perform warehouse math, including units of measure, percentages, rates, ratios, and inventory variances.
Preferred Qualifications
· Experience supporting stakeholders, e-commerce fulfillment, or high-volume distribution operations.
· Direct experience WMS systems, inventory processes, and merchant requirements is strongly preferred.
· Advanced Excel skills, including pivot tables, lookups, filters, and basic data analysis.
· Experience with corrective and preventive action, continuous improvement, or structured problem-solving methods.
· Associate or bachelor’s degree in supply chain, operations, business, logistics, or a related field.
· Forklift or powered industrial truck certification.

Physical and Work Environment Requirements
· Ability to work on-site in an active warehouse environment and move throughout the facility for extended periods.
· Ability to lift up to 40 pounds at times and safely reach inventory stored at varying heights and locations.
· Ability to work around moving equipment, moderate warehouse noise, changing temperatures, and occasional outdoor conditions.
· Visual ability sufficient to inspect products, labels, locations, and inventory records, including depth perception and peripheral vision.
