About The Role
The Front Desk Administrative Assistant plays a vital role in maintaining the smooth operation of our office environment. This highly independent position involves performing a variety of general office and administrative tasks, including greeting visitors, managing communication channels, and supporting facility and supply needs. The role requires professionalism and excellent interpersonal skills, both in person and over the phone, to represent Collegis Education positively. The successful candidate will be responsible for ensuring the front desk functions efficiently, managing mail and packages, coordinating conference room schedules, and assisting with various project-based requests. This position offers a flexible schedule of 20-30 hours per week, primarily between 8:30 am and 5:00 pm, Monday through Thursday. While the role is primarily office-based, it also emphasizes collaboration, organization, and proactive problem-solving to support the overall operations of the organization.
Qualifications
- Previous experience in a corporate or administrative environment preferred
- Proficiency in Microsoft Office Suite, especially Outlook
- Strong interpersonal, written, and verbal communication skills
- Excellent organization and time management abilities
- Attention to detail and follow-through
- Ability to adapt to changing priorities and manage multiple demands
- Professional attitude and appearance
- High level of confidentiality and discretion
- Ability to exercise sound judgment and initiative with minimal supervision
- Associate’s degree preferred but not required
Responsibilities
- Greet visitors and ensure a welcoming environment
- Distribute mail, packages, and voicemails promptly and accurately
- Answer and route incoming calls on the main line, taking messages as needed
- Coordinate with office management and property staff to address facilities issues
- Maintain cleanliness and organization of kitchens and break areas
- Order, organize, and restock office and kitchen supplies
- Manage office equipment such as copiers and printers, ensuring they are filled and operational
- Order building access cards and create nameplates for employees
- Assist with FedEx and courier requests, ensuring timely deliveries and pickups
- Ensure the office is secure by locking doors and securing sensitive areas upon departure
- Coordinate meal orders for meetings, including setup and cleanup
- Adhere to information security policies and report any security concerns
- Maintain conference rooms and breakrooms, ensuring they are organized and stocked
- Develop positive working relationships with colleagues and management
- Support other administrative and project-based tasks as assigned
