Industrial Inspection & Analysis is looking for a detailed, motivated, organized, administrator to join our team in Kent, WA!
Position Summary: The Administrator is responsible for ensuring smooth operational flow through efficient documentation, scheduling, customer communication, and compliance with industry standards. The role is essential for maintaining accuracy, timeliness, and high-quality service in the calibration process.
Responsibility Details:
The following list is the basic administrative responsibilities. Most items are completed on a daily basis and/or required to perform a subsequent function. This list is a generalization of the tasks and is not exhaustive.
Create Field Work orders in database system & print field work orders and distribute to dated files.
Create Sales Orders in NetSuite for completed field work orders
Process and QA temperature uniformity surveys (TUS)
Download recorder data as required
Process and QA system accuracy tests (SAT), process and QA customer equipment certifications, and process QA lab certificates as requested
Create purchase orders as required for field/lab supplies and for vendor services
Support Field and Lab technicians as required
Review all corrected certificate requests
Process and QA corrected certificates
Covert Open Sales orders to invoice upon documentation completion
Invoice contract customer monthly
Process and complete customer issues/complaints
Process and log IIA equipment into database
Create IIA equipment monthly recall
Process, QA and log IIA equipment calibration certificates
Receive and log wire upon receipt and create and maintain wire matrix as required.
Update work order matrix upon completion of any required task
Update corrections matrix upon notification and/or completion of the correction
Produce and distribute equipment/services quotes as required
Provide front desk back up as required and/or requested
Assist with training administrative staff on all the above tasks
Education, Competencies and Experience:
High school diploma or equivalent required
1-3 years customer service or administrative experience required
Professional attitude, appearance, and organization of work area.
Demonstrate effective approaches for choosing a course of action or developing an appropriate solution and/or reaching conclusions.
Strong attention to detail and accuracy, communication skills, discernment and problem solving.
Ability to meet assigned deadlines from internal and external customers.
Proficiency in Microsoft Excel, Word and Office.
Must be a U.S. Citizen
