We are currently scaling our tech platform and internal digital ecosystem (Airtable, Pipedrive). We are looking for a smart, analytical, and highly structured Product Operations Specialist to become the ultimate bridge between our clients (buyers), our sales team (agents), our proprietary database, and our software development teams.
If you love organizing complex systems, spotting bugs before anyone else, and constantly improving the user experience (both internal and external), this role is for you.
🎯 What You’ll Do:
- Product QA & Bug Triage: Test new platform features before release (for both the agent and buyer interfaces) and rigorously document errors. You will act as the "dispatcher" and key connection point between clients, our real estate agents, and the dev teams (both our internal team and our external partner agency).
- Data Governance & Operations: Monitor and ensure the quality and integrity of data structures within Airtable (our core property database) and our CRM (Pipedrive), ensuring that all information reaching end-buyers is 100% accurate.
- Specialized Real Estate Tools Management: Learn, operate, and manage industry-specific tools integrated into our agents' sales workflows. You will ensure these tools perform optimally and interconnect smoothly with our main digital ecosystem.
- Enablement & Tech Support: Handle the technical onboarding for new agents and act as the escalation point for advanced tech support when platform or real estate tool errors occur (reported by agents or directly by clients/buyers).
- Process Optimization: Identify operational bottlenecks in the team's daily routine and implement smart automations (No-Code/Low-Code tools like Make, Zapier, and CRM integrations) to streamline workflows and client interactions.
- SOP Documentation: Create and maintain up-to-date technical guides, tutorials, and Standard Operating Procedures (SOPs – written or video) to ensure our systems and tools are easy to understand and use by the entire team.
🧠 What We’re Looking For (Ideal Profile):
- Excellent written communication skills: The ability to explain complex technical issues simply and write highly clear, clean technical specs and bug reports (including reproduction steps, expected vs. actual behavior, and technical details).
- Analytical mindset & surgical attention to detail: You instantly spot a misplaced comma, an abnormal platform behavior in the buyer interface, or a data discrepancy in a database.
- Tech-savvy & Fast Learner: You are highly comfortable with digital tools and have the ability to quickly grasp the functionalities of new, specialized software (including real estate niche tools).
- A passion for systems: Prior experience with Airtable and Pipedrive is a major advantage. Knowledge of automation platforms (Make/Zapier) is a big plus.
- User Empathy: You understand both the fast-paced needs of a real estate agent and the behavior of a buyer searching for their dream home on a tech platform.
- Previous Experience: Minimum 1-2 years in a similar role (Product Operations, Advanced Tech Support, Junior QA, CRM Administration, or Data Operations).
⭐️ Bonus Points (Nice-to-have):
Experience or strong interest in Sales Operations – specifically, optimizing CRM workflows (Pipedrive), creating performance monitoring dashboards for the sales pipeline, and automating repetitive tasks for agents.
