Quality Control Specialist

Non-Exempt

The Quality Control Specialist plays a critical role in supporting the Credit Union’s commitment to accuracy, strong internal controls, member service excellence, and regulatory compliance. This position is responsible for reviewing operational processes, documentation, and transactions to ensure adherence to Credit Union policies, NCUA regulations, and industry best practices. The specialist helps mitigate risk, supports audit readiness, and promotes continuous improvement across all branches and departments.

Key Responsibilities

Conduct routine and targeted quality control reviews in operational areas, including but not limited to:

  • Teller transactions

  • Account opening, closing, and maintenance (e.g. signature cards and other supporting documents, credit reports, OFAC, Core system)

  • Certificate accounts opening and closing (Core system and supporting documents)

  • Cash handling procedures

  • Dormant Accounts

  • Aggregate monetary reports

  • Member Due Diligence (MDD) for new accounts

  • Change of address requests

  • Monetary Instruments

  • Life savings accounts

  • Monthly audit reports for all branches.

Identify errors, omissions, or discrepancies, and document findings with clarity and accuracy.

Adherence to GCFCU policies and procedures as well as state and federal rules and regulations such as BSA, Reg. CC, OFAC, TISA, Information Security, etc.

Regulatory & Policy Compliance

Ensure branch and back office operations are compliant with Credit Union policies and federal requirements. Review documentation for CIP/KYC accuracy, proper OFAC checks, and completeness of member files. Monitor for potential red flags related to fraud, suspicious activity, and transaction monitoring (FCRM) as a backup. Escalate non compliance issues to the appropriate supervisor/manager and support corrective action.

Reporting & Documentation

Prepare quality control reports with detailed findings, trends, and recommendations. Maintain organized records of all reviews for internal audits, external audits, and NCUA examinations. Track and verify completion of corrective action plans and follow up reviews.

Process Improvement & Risk Mitigation

Analyze review results to identify patterns, operational gaps, or emerging risks. Recommend process enhancements to strengthen internal controls and member experience. Assist with revising and updating procedures to align with regulatory changes and operational needs.

Required Skills & Qualifications

Strong knowledge of credit union operations, regulations, and member service standards. High attention to detail and ability to detect errors and inconsistencies. Strong analytical and critical thinking skills. Excellent written and verbal communication. Ability to work independently, handle multiple priorities, and meet deadlines. Strong ethical standards and sense of accountability.
