DESCRIPTION:

The Quality Administrator is responsible for managing the controlled document library policies, procedures, and worksheets associated with food safety and quality, governance tasks associated with Quality training to comply with relevant quality and food safety codes of practice and providing support for the maintenance and delivery of quality-related documentation to customers.

RESPONSIBILITIES:

Documentation Control:

These functions include notification of updated documents, administrative formatting, and issuance of new or updated documents, OPLs, and SOPs.
Maintaining the SharePoint library and PowerApps for controlled documents that are within the scope of the Quality and Food Safety Management System.
Proactively engaging stakeholders to draft, review, and approve documents throughout the lifecycle of document control, which includes notification of updated documents, administrative formatting, and issuance of new or updated documents, OPLs, and SOPs. Stakeholders primarily include Quality, Production, Engineering/Maintenance, Sanitation, and Warehouse/Logistics.
Ensuring timely refreshing of documents per document control standard, including archiving documents no longer in use.
Coordinating with SQF Practitioners to achieve compliance with Quality and Food Safety Management System standards.

Quality training governance:

Develop and support the development of learning and training material for upload into the Finlays LEARN (learning management system) system. This includes quality, food safety, regulatory and ethical certification training.
Provide governance oversight on execution of quality, food safety, regulatory and ethical certification training.
Execute updating of data for training attended outside of LEARN, external training, webinars, seminars, planned job observations, or classroom sessions.

Support quality documentation delivery to customers:

Play a key role in fulfilling TraceGains and e-mail requests from customers to support KPI targets related to turnaround time.
Update relevant trackers or logs used to monitor responses to customers.
Provide support with refreshing customer-facing documentation to ensure these are up to date, accurate and relevant.
Provide support for delivery of the monthly Customer Documentation report.

QUALIFICATIONS & REQUIREMENTS:

High School Diploma or equivalent required.

Exceptional writing, planning, and organizational skills.
Knowledge of quality and food safety management systems would be a distinct advantage (GMP, FDA, GFSI, and SQF standards).
Intermediate computer skills: Microsoft Office, Outlook, SharePoint, and PowerApps
Experience in a similar administrative role preferred.
Proficient spoken and written English. Optional bilingual written Spanish language proficiency.
