What You’ll Be Doing:

Position Summary

The Quality & Document Control Specialist is responsible for maintaining quality, regulatory, supplier, customer, and operational documentation to support food safety compliance, customer requirements, and internal quality systems. This role works closely with suppliers, customers, Sales, Operations, Supply Chain, and Management to ensure documentation, approvals, inspections, and quality processes are completed accurately and on time.

Quality Assurance & Regulatory Compliance:

  • Ensure quality control measures comply with internal policies and external food safety and regulatory requirements.
  • Ensure all product packaging and labeling comply with applicable import/export and country-specific regulations.
  • Maintain accurate, organized, current, and audit-ready supplier, customer, product, and regulatory documentation.
  • Manage customer and supplier compliance portals including TraceGains, TraQtion, SupplyLine, Sedex, and similar systems.
  • Manage customer documentation requests, supplier approvals, and regulatory compliance documentation, ensuring accurate and timely completion in accordance with customer requirements and deadlines.
  • Create, revise, maintain, and control SOPs, specifications, policies, forms, and quality documentation in accordance with HACCP, SQF, BRCGS, CFIA, USDA, FDA, and Organic requirements.
  • Maintain document version control, record retention, and document archiving practices.
  • Manage and renew company certifications including Organic (ECOCERT), Kosher, and CFIA requirements.
  • Lead preparation and coordination of customer, regulatory, and third-party audits, including maintaining audit-ready documentation and records.
  • Lead all non-conformance investigations (NCRs), corrective action processes, root cause follow-up, and communication with internal and external stakeholders to ensure timely resolution.
  • Lead inbound quality inspections across North America to ensure product quality, packaging, and specification compliance, including onsite inspections within the GTA as required.
  • Maintain quality inspection records, retain samples, and inventory expiry tracking records.
  • Lead approval and annual review of 3PLs, carriers, suppliers, and service providers to ensure compliance with food safety and allergen control requirements.

Document Control & Operational Coordination:

  • Coordinate supplier and customer onboarding documentation, approvals, specifications, questionnaires, and compliance forms.
  • Act as a liaison between Sales, Operations, Finance, Supply Chain, suppliers, and customers to ensure timely completion of documentation and approvals.
  • Coordinate setup and maintenance of customer, supplier, and product records within ERP and internal systems.
  • Maintain organized electronic and physical filing systems for quality and operational records.
  • Support import/export documentation compliance and coordination of applicable regulatory requirements, tariffs, and duties.
  • Manage product sample inventory, tracking, preparation, labeling, packaging, and shipment according to approved protocols and timelines.
  • Assist with reporting, compliance tracking, and continuous improvement initiatives related to quality systems and documentation processes.
  • Perform other related duties as required.

Health & Safety & Facility Monitoring

  • Serve as the company's Health & Safety Coordinator, maintaining Health & Safety records, coordinating workplace inspections, incident reporting, and preparing monthly Health & Safety reports for Management.
  • Conduct daily Head Office quality checks, including warehouse inspections and monitoring and recording temperature and humidity logs, ensuring compliance with company quality and food safety requirements.

What you need:

  • Post-secondary education in Food Science, Quality Assurance, Regulatory Affairs, Supply Chain, or related field preferred.
  • 3–5 years of experience in quality assurance, document control, regulatory coordination, or compliance administration within the food industry.
  • Working knowledge of HACCP, SQF, BRCGS, CFIA, FDA, USDA, Organic, and food safety standards.
  • Strong document management, organizational, and communication skills with exceptional attention to detail.
  • Experience managing customer/vendor compliance portals, ERP systems, and Microsoft Office applications.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience in food importing, ingredients, manufacturing, or CPG environments is considered an asset.
  • Ability to use critical thinking.
