Summary

This role will provide support to implement PROtect’s Safety and Quality Management Systems and strengthen the competencies across the organization. This role supports a culture of safety, continuous improvement and operational excellence by coordinating training, audits, and compliance initiatives. The administrator will work closely with Safety, Quality and Radiation Safety department heads to drive safety performance, enhance quality assurance processes, and mitigate risks, ensuring the highest standards of service delivery in reliability services.

The Corporate Safety and Quality Administrator will support the Corporate Safety, Radiation, and Quality Management teams and all employees in reducing their risk exposure and defining the actions to mitigate risk and achieve zero incidents and occupational illnesses throughout the organization. In addition, the Corporate Safety and Quality Administrator will ensure full compliance with all third-party verification site requirements.

Essential Functions and Basic Duties

General

Assist in maintaining and updating company policies and procedures as directed by members of the Safety, Quality and Radiation Safety teams.
Manage third party safety verification programs to ensure full compliance. Including ISN, Veriforce, Avetta, etc. This includes:
Keeping employee roster(s) up to date and maintaining accurate personnel contact records in the 3rd party sites for linking accounts.
Uploading policies, procedures, certifications and other documents to maintain compliance.
Completing the monthly, quarterly, and annual reporting and updates to each service.
Assistance with transmittal and uploading of annual COI renewals to 3rd party sites.
Support collection, organization, and distribution of department metrics and KPIs to track safety and quality performance of the company divisions and locations.
Assist and support Operations to ensure employees are in compliance for upcoming projects including necessary training, drug & alcohol testing, background checks, etc.
Update audit tracking system.

Safety

Ensuring implementation of internal safety training. Work closely with Regional Safety Managers to ensure employees have completed safety training as assigned.
Assist in assigning required employee safety training via the ERM Training Management.
Assist in reporting incidents to Worker’s Compensation and management incident investigation documentation.
Support Corporate Safety Management on medical case management process.
Assist in reporting incidents to Worker’s Compensation and management incident investigation documentation.
Assist in coordinating drug & alcohol testing program for incidents and random testing.
Support Safety/HR teams with relevant safety-related records, including but not limited to, drug & alcohol records, medical records, training records, etc.
Assist in the completion of periodic customer safety questionnaires.
Maintain Safety Council accounts, including scheduling employees for training.

Radiation Safety

Work with our Radiation Safety team to maintain Trustworthy & Reliable lists
Assist with scheduling and submitting fingerprints to FBI for criminal history reports
Conduct final review of applicant’s background paperwork prior to Reviewing Official
Maintain accurate list of employees’ T&R status
Assist with scheduling and submitting applications for State Card applicants and track status of employees’ state cards.
Assist with purchasing radiation safety related equipment and sources and assist in maintaining dosimetry assignments and rosters associated with dosimetry (i.e. Landauer).

Quality

Build training completion certificates for internal training courses. Log training into employee records in PROtect certification management system.
Assist in quality system procedure updates and maintenance.
Maintain personnel certification files and distribue certification packages.
Assist in preparing documentation for and participating in 3rd party audits.
Maintain equipment inventory system
Work with procurement to add new equipment into PROtect’s tracking system.
Update and maintain calibration certificates and dates for equipment tracking
Update equipment assignments.
Update equipment status.
Publish training materials for internal training courses.
Assist with coordination of travel arrangements for training

Other Functions

Other Safety, Quality and Radiation Safety support and duties as assigned.
Requirements:

Education / Certification

1-3 years of relevant experience

Required Knowledge & Experience

Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) required

Skills / Abilities

Physical Demands – Ability to sit for long periods of time. Able to view computer screen for lengths at a time. Must be able to speak and listen clearly. Fine visual acuity to read for accuracy.
