Program Quality & Data Analyst
Reporting to the Chief Operating Officer (COO) and working closely with program staff and leadership, the Program Quality & Data Analyst (Analyst) plays an integral role in the oversight and management of Northern Children’s Service’s (NCS) program quality, data management, and compliance initiatives. Responsibilities for this role include but are not limited to, oversight of Electronic Health Records and internal database systems, developing and maintaining data collection forms, generating reports, and analyzing and presenting gathered data. The Analyst is also responsible for conducting routine internal program file audits and assisting in preparing for regulatory and program audits to ensure compliance with internal and external standards.
Success in this position is reliant on the ability to create and manage systems, maintain strong written and verbal communication, build and sustain effective partnerships and collaboration with staff at all levels of the organization, as well as on the professionalism and maturity to manage highly sensitive and confidential information.
THE FOLLOWING ARE THE ESSENTIAL FUNCTIONS OF THIS POSITION
DATA MANAGEMENT
Serve as the administrator for NCS’ Electronic Health Records systems.
Maintain data collection forms within NCS’ Electronic Health Records systems.
Develop ad hoc reports to address program-specific needs and objectives as set by program and agency leadership.
Create dashboards, visualizations, and presentations to identify, analyze, and interpret trends.
Evaluate the completeness and accuracy of data.
Prepare aggregate data for the Chief Operating Officer (COO) that will inform the Executive Summary for the monthly Northern Board of Trustees meetings.
PROGRAM COMPLIANCE & QUALITY ASSURANCE
Demonstrate an understanding of city, state, and Community Behavioral Healthcare (CBH) regulations to ensure compliance across all program activities.
Manage approved record requests by retrieving records from the Electronic Health Records (EHR) system, organizing them electronically, and preparing them for distribution.
Schedule and conduct quarterly internal program file review audits to ensure compliance with internal and external standards and coordinate with program teams to obtain any missing documentation.
Prepare a written report for program leadership and COO detailing internal audit findings and providing recommendations for improvement.
Collaborate with COO and program leadership with preparation for all city and state regulatory and program audits, including ensuring pre-audit documentation is complete and in compliance with regulatory requirements.
Collaborate with program teams to analyze incident reports and provide recommendations for preventative measures to reduce future occurrences.
MISCELLANEOUS
Maintain internal SharePoint site for policies and ensure accessibility and communication to relevant staff when appropriate about policy changes, additions, deletions, etc.
Actively participate in NCS’ Safety Committee.
Become cross-trained to support and collaborate with other departments
Support special department projects.

BASIC SKILLS
Excellent written and oral communication skills with the ability to communicate effectively and interact professionally with external stakeholders and staff at all levels of the organization.
Must have strong problem-solving and decision-making skills.
Possess the ability to define problems, collect and analyze data, and effectively communicate the findings in understandable, digestible, and useful ways across the organization, providing recommendations for quality improvement.
Proficiency in the use of the Microsoft suite of products, including Microsoft Word, Excel, Outlook, PowerPoint. Power BI preferred.
Possess the ability to organize, manage, and coordinate multiple tasks.
Exhibit comfortability and effectiveness in working both independently and collaboratively.
Understanding of behavioral healthcare, child welfare, housing, and other public systems of care and related healthcare laws, regulations, licensing, and standards.

Ability to demonstrate commitment to being trauma-informed and maintaining a therapeutic environment and community that promotes safety and nonviolence as the basis for all we do with clients and staff.
Ability to demonstrate knowledge and utilization of trauma-informed practices, including emotional intelligence, effective communication, understanding of the impact of trauma on development, strengths-based and person-centered practice, resilience focus, and commitment to growth and change.
QUALIFICATIONS
EDUCATION
(Required) Bachelor’s Degree from an accredited college or university, preferably in a human/social services or computer science field.
EXPERIENCE
A minimum of 3 years’ experience in an organization with state-licensed programs preferred, including at least 2 years in compliance auditing responsibilities.
A minimum of 2 years in data management and visualization.
Strong project management experience.
KNOWLEDGE
Understanding of Community Behavioral Healthcare (CBH) system; compliance, auditing, quality assurance, medical records activities and program licensing regulations.
Strong familiarity with Electronic Health Records systems
Skillful in report building
Skillful in Microsoft Office. Specific advanced skills in Excel, Power BI, and database management and presentation
