Primary Objective
Enforce quality in the implementation of
the life cycle of the project in compliance with Trimark’s quality management system.
The Project Quality Administrator is involved in the successful application and consistent improvement of the quality management plan within the operational/implementation lifecycle. The individual acts as a point of contact for all issues relating to quality management for every project. In addition, the Project Quality Administrator will provide consultation for the project team, as well as engage with the project leads to ensure complete compliance to quality provisions in a repeatable approach that guarantees results consistent with the organization’s quality standards.
Primary Responsibilities
Document Management
Maintain and administer the project document control system, ensuring all documentation is current, properly labeled, and archived.
Coordinate the issuance, tracking, and retrieval of project-related documents including drawings, specifications, reports, and communications.
Support version control and ensure the integrity of critical documentation across all project phases.
Change Order Request Development
Collaborating with project managers and functional leads to develop, format, and process change order requests in accordance with contractual and internal requirements.
Track the status of all change orders, ensuring proper approvals are obtained and documentation is complete.
Assist in cost and schedule impact assessments as part of change order evaluation.
Project Quality Reviews
Facilitate periodic quality reviews throughout the project lifecycle to ensure adherence to scope, schedule, and deliverables.
Track project performance indicators and identify areas of risk or deviation from established quality standards.
Document review findings and ensure follow-up on corrective actions and process improvements.
Utilize quality tools and techniques to evaluate and document quality issues
and to enhance continuous improvement.
Aid with development of corrective and preventive actions plans and implement these within a given timescale to eliminate the root cause of a non-conformance.
Work closely with other departments to facilitate actions and maintain compliance to the current systems for change controls.
Update, maintain and improve quality management system process documents and documentation.
Perform data analysis, prepare quality trend/metrics, and report results to internal interested parties.
Carrying out Project Quality Reviews (PQRs) as required.
Qualifications & Requirements
The employee should be familiar with the mission, goals, and organizational structure of Trimark Associates. In addition, the employee should have the following traits and qualifications:
Required:
Bachelor’s degree in business management, Business Administration, or a related field.
3+ years of experience in project administration, quality assurance, or a related field.
Proficiency with document control systems, Microsoft Office Suite, and project management tools (e.g., MS Project, Smartsheet, SharePoint).
Strong organizational skills with attention to detail.
Excellent communication and interpersonal skills.
Preferred:
Experience working in engineering, construction, energy, or technology project environments.
Familiarity with change order and contract management processes.
Knowledge of quality management standards and continuous improvement practices.
ISO 9001 Certifications a plus.
Consequence of Error

Physical, Mental & Emotional Requirements
Employees may be required to sit for long periods of time using a keyboard and monitor display, travel to other locations, lift to 20lbs, and push/pull up to 50lbs. Must be able to organize and prioritize work in accordance with deadlines, adapt behavior and work methods in response to changing conditions or challenges. Employees will be involved with sustained activity required for analysis, reasoning, and problem solving. Must be able to develop and maintain cooperative working relationships, recognize emotionally charged issues and respond appropriately, act with professionalism, and work both independently and collaboratively. Must be able to proactively encourage a work environment that encourages innovation and creative solutions and be able to develop effective working relationships with all levels of the company and outside partners.
Work Environment
The employee will primarily work in a climate-controlled office with occasional fluctuations in temperature. The employee will work at an assigned desk under artificial lighting. The employee may occasionally attend meetings and/or training outside of their assigned workstation. Employees will be required to perform some travel in a company vehicle.
