Your Role
The function of the Local QSHE Manager (LQM) and the assignment of these responsibilities are mandatory within each Kuehne + Nagel branch. However, dependent on the size and makeup of a branch, this position is most often not considered to be full-time and may often be assigned to a person(s) with other primary responsibilities. The duties of this position may be assigned to more than one individual with the “main LQM” having the direct oversight responsibility for coordination and Branch compliance within all areas.
Your Responsibilities
Coordinating Training activities
Coordinating and support of quality matters related to KN’s Products (Contract Logistics PharmaChain)
Being the Subject matter expertise for Quality, Safety Health, Environment, and Security matters within the branch
Perform self-audits for compliance
Hosting of audits by Clients, Customers, third parties or Government agencies.
Coordinating the Implementation of new/revised standards and procedures.
Communicating within the branch the relevant subject matters related to QSHE
Working with local management and corporate QSHE organization, manage, support, and maintain compliance to all Quality and GXP requirements, and as applicable all Federal, State and Local regulatory requirements within the branch
Maintain an active and effective Corrective and Preventative Actions (CAPA) program (TIP) to include sufficient performance of Root Cause Analysis, and an ongoing review of actions put in place to determine the effectiveness of the corrective action.Reporting on this type of activity as a KPI to management.
Maintain Document Control and retention for all local forms, work instructions, profiles, customer SOPs
Maintain Approved Suppliers List, track and validate Suppliers through corporate Supplier Management Tools
Maintain calibration records, reports, and equipment within facility for KN and customer equipment (temperature control)
Provide management with QSHE documentation relating to new hires and new hire orientation training
Maintain QSHE Training Matrix and Plan, training records and certificates
Ensure the required new and refresher training is provided in support of QSHE
As required, maintain branch Shared Drive for all documents and records
Maintain strict Housekeeping Program as required by GXP PharmaChain Guidelines
Coach local management to reach, maintain and continuously improve QSHE standards within the branch
Liaise with customers, subcontractors and outside parties as required
Responsible for Accounts Payable and Accounts Receivable for the branch.
Create Purchase Request (PR) in ACON New.
Create Purchase Orders (PO) in ACON New. Purchase all supplies for the site.
Process incoming invoices.
Perform Client Billing.
Process local employee payroll task
Provide status updates and information as requested by the Regional QSHE Manager / Quality Manager
Provide QSHE topics for local management meetings and provide feedback on continuous improvement
Provide required documentation to support the annual Management Review Meeting including attendance of key personnel
Assist management with QSHE Goal setting during annual Management Review Meeting
Coordinate and assist Internal auditing of all QSHE and Compliance standards and requirements
Perform periodic internal audits when follow up to Action Items is required
Timely Reporting on the results of internal audits, and quality matters to management
Maintain quality certifications such if applicable, such as to ISO 9001
Adhere to internal healthcare guidelines, procedures and minimum requirements as defined in Global GxP Policy Healthcare.
Ensure training compliance as per defined training matrix as applicable.
Maintain basic GxP awareness
Implement and maintain compliance to the requirements of the KN US Safety and Health Manual
Lead a “Safety Committee” within the branch to regularly review and perform maintenance activities to the local SH system
Provide and ensure Safety and Health Training for all employees (Awareness, Hazard Certifications, PIT etc.)
Ensure local work instructions exist for all mechanical operating equipment and tools
Investigate and report on all incidences relating to injuries, property damage and near misses
Maintain organized Injury Management records for OSHA reporting
Ensure weekly / monthly safety inspections are performed and findings are documented and follow up conducted
Perform annual Safety Drills (Evacuation, Seek-shelter)
If applicable, hold annual Spill Drills
Maintain equipment maintenance records
Annual review and maintenance of branch specific ERP, HazCom,and DRP/BCP
Maintain safety and health certifications if applicable, such as to OHSAS 18001
Develop, establish and implement a local Environmental Management System (EMS) within the branch as required by the KN US Environmental Management System Policy Manual
Lead an “Environmental Team” within the branch to regularly review and perform maintenance activities to the local EMS
Discuss, document and implement Environmental Aspects, Objectives, Targets for the branch
Provide backup documentation to support each Aspect with attention to all legal requirements
Provide tools and equipment needed to support Aspects (recycle bins, lighting systems, substitution programs)
Ensure all employees receive EMS training (global and local)
Monthly reporting of GFCC online with documented notification to branch employees of progress toward goals
Maintain environmental certifications if applicable, such as to ISO14001
Implement and Maintain a Security Management system as specified with the KN US Security Policy Manual
Ensure Visitor and Driver Protocol is known and maintained in office and warehouse area
Investigate and report any security incidents to Branch Manager and Director of Security
Maintain local ID Badge Program for new hires and terminations including completion of Form Nyc-ZQ-9003
Review and/or maintain branch Activity / Open / Close reports
Maintain Alarm/Security records including regular maintenance reports
Your Skills and Experiences
High School Graduate / GED
Logistics / Distribution
Business Management
Quality, Safety & Health, Environment, Security, or Dangerous Goods Discipline(s)
Minimum 1-3 years in a similar position
ISO 9001 Norm
ISO 14001 Norm (desirable)
ISO 45001 Norm (desirable)
Audit experience of QSHE Management Systems (desirable)
Good communication skills, both verbal and written (English)
Proficient MS Office (Word / Excel / PowerPoint / Outlook)
Proven ability to effectively handle multiple, simultaneous tasks.
Demonstrates strong networking and interpersonal skills and professionalism to deal with all levels of personnel
Demonstrates ability developing and using relationships to facilitate accomplishment of goals
Knowledge of payroll and AP/AR and Supplier management
Must have good problem solving skills and be able to quickly identify, define and resolve problems
