Job summary:

Responsible for monitoring defective purchased materials, coordinating with suppliers to obtain warranty credits and RMA numbers, arranging shipments, processing credits, and reporting results to management. This role plays a key role in recovering costs, supporting ISO compliance, and improving supplier accountability.

Responsibilities:

* Monitor defective purchased parts and rework activity for potential supplier warranty recovery

* Setup and prepare shipments to suppliers.

* Coordinate with internal teams (Warranty, Quality, Purchasing, Production, Receiving) to ensure proper documentation is completed

* Contact suppliers to request warranty authorization, RMA numbers, and credit approval

* Track warranty claims, RMAs, shipments, and credit status to completion

* Arrange shipment of defective material to suppliers when required

* Process and verify supplier credits, ensuring accuracy and timely posting

* Maintain organized electronic records and documentation in accordance with ISO requirements

* Generate and distribute regular reports on warranty activity, recoveries, trends, and open claims

* Communicate issues, delays, or risks to management in a timely manner

* Identify opportunities to improve warranty recovery processes and supplier performance

Requirements (education, experience, travel, physical, work environment):

* High school diploma or general education degree (GED) required

* Strong computer skills with proficiency in Microsoft Word, Excel, and Office applications

* Must be able to work onsite in a warehouse environment/conditions.

* Experience creating and maintaining spreadsheets, trackers, and basic reports

* Ability to analyze data and present information clearly to management

* Strong written and verbal communication skills

* High attention to detail and strong organizational skills

* Ability to manage multiple claims and priorities simultaneously

* Comfortable working cross-functionally in a manufacturing environment

Preferred Qualifications

* Experience with supplier warranty processing and RMA management

* Knowledge of supply chain, purchasing, and manufacturing operations

* Experience using Power BI or other reporting/visualization tools

* Familiarity with ISO or quality management systems

* ERP/MRP system experience

Physical Requirements:

1. Lift/Push/Pull
– Exerting up to 40 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects.

2. Climbing
– Ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and/or hands and arms.

3. Stooping
– Bending body downward and forward by bending spine at the waist.

4. Kneeling
– Bending legs at knee to come to a rest on knee or knees.

5. Crouching/Crawling/Reaching – Bending the body downward and forward by bending leg and spine. Moving about on hands and knees or hands and feet. Extending hand(s) and arm(s) in any direction.
