A Clinic Coordinator is responsible for managing the daily operations of a medical clinic to ensure smooth and efficient patient care. This role involves coordinating appointments, supporting medical staff, and maintaining a high level of organization within the clinic.
Key responsibilities include scheduling patient visits, handling patient inquiries, maintaining medical records, and ensuring compliance with healthcare regulations. The Clinic Coordinator also acts as a liaison between patients, doctors, and administrative staff, helping to create a positive patient experience.
The ideal candidate should have strong organizational and communication skills, attention to detail, and the ability to multitask in a fast-paced environment. Experience in healthcare administration and familiarity with medical systems are often preferred.
Job Responsibilities :
- Plans, coordinates and carries out patient care operations.
- Exercises utmost diplomacy and tact to provide excellent customer service for patients and uses customer service principles and techniques to deal with patients calmly and pleasantly.
- Responds to patient concerns timely and ensures patient satisfaction.
- Assesses patient needs and arrange scheduling any necessary appointments accordingly.
- Practices confidentiality and privacy protocols in accordance to clinic policies.
- Orients and educates patients and their families by meeting them; explaining the role of the patient care coordinator; initiating the care plan; providing educational information in conjunction with direct treating physician related to treatments, procedures, medications, and continuing care requirements.
- Educates patients on the estimated fees for the planned medical services, payment expectations and arrangements.
- Processes referrals, and obtain all necessary information from the patient and physician to ensure accuracy and completeness of referral.
- Expedites scheduling, completion of tests, procedures, required documents, forms and consents.
- Communicates information delegated by the physician, nurses, IVF laboratory staff to the patient.
- Maintains the lines of ongoing communication flowing and reports to the treating physician variances from the care plan.
- Evaluates outcomes of care with the interdisciplinary team by measuring intervention effectiveness with the team and implementing team recommendations.
- Maintains patient care database by entering new information as it becomes available; verifying findings, reports; backing up data and maintains patient medical records up-to-date.
- Participates in internal and external Quality Assurance and Quality Management.
- Takes part in the normal rota of out-of-hours duties, including weekend work.
- Maintains professional knowledge by attending educational workshops; reviewing professional publications and establishing personal networks.
- Creates a positive working non-noisy environment and motivates & encourages other members of staff to communicate effectively and eliminates verbal abuse behavior.
18. Performs any other responsibilities and administrative duties, as assigned.
