Job Purpose:
The Document Controller will be responsible for managing, maintaining, and safeguarding project documentation for a film industry project in Saudi Arabia. This role involves ensuring that all documents are accurate, properly stored, and accessible to authorized team members while adhering to industry standards and confidentiality requirements.
Key Responsibilities:
Document Management:
Create, manage, and maintain document control systems for the project.
Ensure that all documentation meets organizational and project-specific standards.
Track and manage revisions and updates to project documentation.
Coordination and Distribution:
Collaborate with production teams, directors, and external stakeholders to ensure the timely flow of information.
Distribute documents to relevant parties and maintain an accurate distribution log.
Act as the central point of contact for document queries and requests.
Quality Assurance:
Verify the accuracy, completeness, and format of documents.
Conduct routine checks to ensure compliance with project and regulatory requirements.
IT Proficiency: Demonstrated expertise in utilizing document control software, project management systems, and other relevant IT tools to manage and organize documentation effectively.
Construction Experience: A solid background in the construction industry, with familiarity with project documentation processes, including technical drawings, contracts, and compliance records.
Local Expertise: Residency within the GCC region, with knowledge of local regulatory frameworks, construction standards, and relevant industry practices.
Focus Areas:
The appointed Document Controller will play a pivotal role in supporting the project in the following key areas:
Engineering: Managing and maintaining all engineering-related documentation to ensure accurate and up-to-date records of technical designs, drawings, and specifications.
Quality: Ensuring all documentation related to quality assurance and control processes is systematically recorded and accessible for audits and reviews.
Health & Safety: Organizing and controlling records pertaining to health and safety protocols, compliance documents, and incident reports to meet regulatory and project standards.
Responsibilities:
Establishing and maintaining a structured system for managing project-related documentation across engineering, quality, and H&S domains.
Ensuring proper version control and timely updates of project records.
Collaborating with project stakeholders to facilitate seamless access to critical documentation.
Hands-on experience with Aconex is highly desirable.
Safeguarding sensitive information and ensuring adherence to data management policies and regulations
